The Finance Associate is responsible for leading key financial processes including sales verification, account reconciliation, and invoice management to ensure financial clarity and operational efficiency.
Key Responsibilities
Sales Payment Confirmation & Verification
Confirm all inbound payments related to sales, including deposits and balance payments, ensuring timely and accurate tracking.
Track and verify outbound disbursements such as seller payouts and broker payments.
Collaborate with the Sales team to ensure internal records match actual vehicle transactions.
Deposit Account Reconciliation
Maintain and reconcile the car sales deposit account on a monthly basis to support accurate reporting and compliance.
Identify and escalate any variances or unexplained entries discovered during reconciliation.
Invoice Management
Generate sales invoices and Electronic Tax Register (ETR) receipts once ownership transfer is confirmed by the Sales Admin Team.
Ensure all invoices are issued promptly and aligned with transactions.
Post all sales invoices into QuickBooks for accurate financial recording.
Documentation & Process Support
Maintain the digital filing system (MEGA) for all vehicle-related financial documents to ensure organized, auditable records.
Support tracking the full payment-to-invoice lifecycle for each sale.
Assist in refining and documenting sales-related processes to improve operational efficiency.
Cross-Functional Finance Support
Collaborate with other Finance Associates on assignments related to reconciliations, bookkeeping, or supplier payments.
Participate in ad hoc tasks assigned by the line manager to strengthen team output.
Requirements and Qualifications
Bachelor’s degree in Finance, Accounting, or a related field.
1–2 years of experience in a finance or accounting role handling payments, invoicing, and reconciliations.
Hands-on experience with bank/deposit account reconciliations, including variance investigation.
Strong Excel skills (lookups, pivot tables, reconciliation templates, and data cleaning).
Working knowledge of invoicing and ETR issuance with the ability to post sales invoices accurately.
Mandatory proficiency in QuickBooks for day-to-day posting.
Meticulous documentation habits and ability to maintain audit-ready digital files.
High attention to detail, numerical accuracy, and the ability to meet deadlines.
Knowledge of tax/compliance basics related to sales invoices and ETR.
Professional written and verbal communication skills.
