Job Description
This position is responsible for providing executive support services in the day-to-day running of the Executive Office while working closely with staff and managers of the KenGen Staff Retirement Benefits Scheme (KSRBS). The role entails high-level administrative coordination, board secretarial support, and efficient office management.
Operational Roles and Responsibilities
Diary and Communication Management: Manage the CEO and Trust Secretary’s diary and email account; ensure the calendar, appointments, meetings, travel, and deadlines are well organized and maintained.
Office Management: Ensure the CEO and Trust Secretary’s office is equipped and clean at all times; facilitate office business by arranging meetings and receiving visitors.
Briefing Coordination: Organize briefings and meetings on behalf of the CEO and Trust Secretary and maintain accurate records of engagements with staff, media, and other stakeholders.
Travel Logistics: Arrange and co-ordinate travel and accommodation requirements, ensuring all itineraries are in place for the CEO and Trust Secretary’s commitments.
Inquiry Handling: Filter general information, queries, telephone calls, and invitations to the CEO and Trust Secretary by redirecting or addressing them appropriately.
Proactive Planning: Conduct weekly diary meetings with the CEO and Trust Secretary to discuss upcoming engagements and invitations.
Stakeholder Relations: Maintain smooth communication between the Executive Office and internal departments while demonstrating leadership in maintaining credibility and trust.
Task Prioritization: Prioritize conflicting needs, handling matters expeditiously and proactively to follow through on projects to successful completion within deadlines.
Documentation and Reporting: Draft, edit, and ensure precision and delivery of reports, correspondence, and communications from the Executive Office.
Board Support: Arrange logistics and planning for Board meetings; collaborate with managers to ensure department-specific Board papers are prepared and circulated in advance.
Information Maintenance: Maintain and update key information and contacts regarding the Board and strategic relationships.
Records Management: Ensure efficient filing, documentation, and safe custody of records, adhering to confidentiality and archival standards.
Knowledge and Skills Required
Education: A Bachelor’s degree in Business Management or a related discipline from a recognized university.
Experience: A minimum of seven (7) years’ experience in a similar position.
Certifications: Certification from the Institute of Certified Secretaries (ICS) is an added advantage.
Technical Proficiency: Knowledge of administrative and clerical procedures, managing files and records, and good working knowledge of MS Office packages.
Soft Skills: Ability to work independently with minimum supervision, solve problems using business knowledge, work under pressure, and maintain a high level of integrity and confidentiality.
