Médecins sans frontières (MSF) or Doctors Without Borders, an international humanitarian-aid NGO, is seeking a Customer Service Intern for its supply chain department in Nairobi. This internship provides a structured learning environment where the intern will support mission order statuses, claims, and data accuracy under the guidance of a Customer Service Officer (CSO).
Tasks & Responsibilities
Order Tracking: Under the supervision of the CSO, inform missions on order status, claims, and non-conformities.
System Management: Ensure ERP system data accuracy and maintain proper documentation.
Order Processing: Receive, check, and screen internal requests and client draft POs/RFQs. Support the CSO to timely process regional mission orders and ensure Order Request Confirmation (ORC) sharing for validation.
Validation: Verify that correct order authorization processes are followed and share validated client Purchasing Orders (POs) with the Purchasing Officer.
SOP Learning: Learn the standard operating procedures (SOP) for receiving and screening international order requests and follow up with missions to clarify needs.
Stock Analysis: Use the Dossier Analysis Tool to check article stock levels for pick & pack and replenishment cycles.
Procurement Collaboration: Understand procurement workflows to interpret stock balances and avoid stockouts while validating mission orders.
Regulatory Compliance: Utilize the MSF Regulatory Affairs SharePoint to check country-specific constraints based on received orders.
Supplier Interaction: Under the guidance of the Procurement Manager, follow up with suppliers for pending and back orders.
Internal Coordination: Collaborate with relevant internal departments to ensure effective service delivery to missions.
Documentation: Assist in the archiving of supply operations documents (POs, RFQs, and emails).
Project Work: Learn project management principles to lead and finalize the 'Paperless Project' by the end of the internship.
Requirements and Qualifications
Education: Bachelor’s degree or Diploma with specialization in Business Administration, Logistics/Supply Chain, or a related field.
Eligibility: Must have graduated within the last six (6) months.
Communication: Strong interpersonal and communication skills; proficiency in written and spoken English and Swahili.
Technical Skills: Computer literacy is required.
Attributes: Attention to detail, accuracy, and the ability to work independently or as part of a team.
Feedback: Commitment to writing a discovery report/feedback at the end of the internship.
