Job Description
Kicheche Camps is seeking a dedicated Camp Administrator to support the Camp Manager in overseeing all administrative, financial, and logistical operations. Role Overview
The Camp Administrator will handle a variety of tasks ranging from financial reporting and human resource coordination to inventory management and guest hosting. You will be responsible for ensuring that all reports are accurate, resources are managed effectively, and health and safety standards are strictly followed.
Responsibilities and Duties
Financial and Operational Reporting
Assist the manager with all camp administration duties.
Produce and cross-check monthly camp reports including income sheets, expense sheets (PC declarations), and muster rolls.
Monitor and report on bednight figures, client origins, and food and beverage consumption.
Track fuel usage and provide vehicle summaries (including maintenance work and mileage).
Maintain solar and other equipment maintenance logs.
Human Resources and Health & Safety
Coordinate HR matters, including staff uniforms, duty rosters, and staff off days.
Adhere to company employment procedures for temporary employees and contractors.
Ensure the staff camp is maintained in good condition.
Work with the camp manager to ensure Occupational Safety and Health (OSH) and eco-standards are met at all times.
Maintenance and Logistics
Maintain a well-organized list of maintenance duties for the maintenance team.
Coordinate camp inventories during key periods (June, November, and March).
Prepare weekly supply orders and general orders for manager approval using Odoo procedures.
Receive goods into the system, conduct daily stock issuance, and perform random stock takes.
Retail and Guest Relations
Manage the camp shop by conducting monthly inventories, preparing orders, and recording income via guest invoices.
Assist in hosting guests and perform any other tasks assigned by the camp manager.
Requirements
Education: Diploma in Business Administration or Accounting.
Experience: Minimum of 3 years of relevant work experience.
Industry Knowledge: Solid understanding of hospitality operations.
Technical Skills: Extensive knowledge in reporting, resource management, and cost control. Proficiency in accounting and potentially ERP systems like Odoo.
Soft Skills: Strong people skills and the ability to interact professionally with guests and staff.
