Assistant Project Coordinator

Key Responsibilities

• Site Meeting Preparation: Organize site meetings, prepare agendas, take minutes, and follow up on action items.
• Documentation and Reporting: Assist in compiling project status reports and maintaining up-to-date project documentation under the guidance of the Project Coordinator.
• Task Tracking: Track tasks and follow up on deadlines with team members to ensure timely completion.
• Resource Coordination: Track equipment and material usage, coordinating deliveries to project sites.
• Timeline Management: Update project timelines and calendars, notifying relevant stakeholders of any changes.
• Communication: Maintain clear communication and updates with internal teams and clients as assigned.
• Quality & Safety Assurance: Support quality checks and compile findings; help ensure site safety and security protocols are strictly followed.
• Logistics & Risk Support: Assist in coordinating transport and access documentation; identify and report potential project risks or delays.
• Team Leadership & Continuous Improvement: Lead team meetings/huddles, supervise work allocation, and continuously stay updated on industry trends, security systems, and project management practices.
