FSD Africa is a £30 million financial sector development programme based in Nairobi, funded by the UK Government’s Department for International Development (DFID). FSD Africa aims to reduce poverty across sub-Saharan Africa by building financial markets that are efficient, robust, and inclusive. The Assistant Financial Accountant for the AFIYA project is responsible for ensuring the accurate and timely entry and posting of financial data into the accounting system. This role supports informed decision-making and ensures compliance with all applicable laws, regulations, and standards.
Key Responsibilities
Accounting and Financial Reporting
Enter financial data into the accounting system accurately and timely, ensuring all necessary approvals are completed.
Support the Assistant Manager, Financial Accounting in the preparation of financial statements and drafting project accounts.
Assist in tracking cash flow forecasts and reviewing vendor invoices to ensure creditor aging aligns with organizational policies.
Complete month-end close activities including bank reconciliations and adjustments for accruals and prepayments by the 3rd working day of the following month.
Review and reconcile general ledger and sub-ledger accounts.
Ensure project closures are processed accurately and submitted on time.
Reconcile vendor statements against payment records for accuracy.
Disbursement of Payments
Review payment documentation to ensure processing is prompt and in line with FSD Africa’s financial procedures.
Verify payment requests and accompanying documents in the ERP system.
Prepare payment vouchers and obtain authorized signatures.
Ensure accurate calculation and timely payment of taxes and statutory obligations (WHT, WVAT, WHT on Rent Income).
Manage the payment tracker in the ERP system to ensure compliance with SLAs.
Maintain and reconcile petty cash in compliance with policy.
Finance Records Keeping and Management
Provide financial administrative support to the AFIYA team and manage the archive of financial records.
Ensure all documentation is secured confidentially and can be easily retrieved.
Support the finance team in gathering documentation for stakeholder queries and audits.
Assets Management and Verification
Receive, tag, and update the asset register with purchased assets.
Manage storage, issuance, and movement of assets (procurement, transfer, and disposal).
Participate in asset verification exercises and ensure the Fixed Asset Register reconciles with the general ledger.
Risk, Compliance & Audit Support
Provide logistical support and documentation for internal and external audits.
Ensure records are retained for statutory periods in compliance with data management policies.
Prepare audit schedules and respond to audit queries.
Assist in the implementation of recommended audit actions and identification of financial risks.
Requirements
Qualifications and Education
Minimum of a Bachelor's degree with 1 year of experience or a High Diploma with 2 years of experience in Commerce, Finance, or a Business-related discipline.
Professional accounting certification is an added advantage.
Essential Experience and Skills
At least one year of administration work experience in a fast-paced finance environment, preferably within a donor-funded organization.
Strong organizational skills with the ability to self-start and prioritize.
Working knowledge of accounting ERP systems (experience with Microsoft Dynamics 365 is an added advantage).
Experience in managing processes and analyzing information.
Strong customer focus and excellent written and spoken communication skills.
