Job Description
The Administrative Officer will join the Kenya Medical Research Institute (KEMRI) to provide essential administrative and operational support at the Kargeno site in Kisumu. This role involves working closely with the Site Coordinator, Study Coordinator, and Management Team to ensure the effective execution of institutional policies, procedures, and systems.
Responsibilities
Operations Management: Contribute operational information, develop and implement action plans, and ensure policies are effectively executed. Analyze and improve processes including workflow, staff/space requirements, and equipment layout.
Quality & Performance: Monitor productivity, quality standards, and customer-service performance. Identify trends, resolve problems, and complete audits.
Safety & Compliance: Maintain a safe and healthy work environment by establishing and enforcing institutional standards and legal regulations.
Client Relations: Serve as the primary point of contact for research project clients regarding equipment quality, service delivery, and on-site incidents.
System Development: Manage study site operational systems, including product handling, storage requirements, and equipment utilization.
Procurement: Coordinate procurement activities, following up on supply requisitions with the KEMRI Procurement Department and managing vendor relationships.
Inventory & Asset Management: Oversee inventory analysis, shipping, and effective utilization of project inventory. Update the asset register, conduct quarterly asset verification, and ensure proper labeling.
Requirements
Academic Qualification: Bachelor of Business Administration or an equivalent degree (Mandatory).
Experience: Previous experience working with remote teams is considered a desirable added advantage.
Technical Proficiency: Must be proficient in Microsoft PowerPoint, Word, and Excel (Mandatory).
Skills: Excellent communication (interpersonal, written, and verbal) and outstanding attention to detail (Mandatory).
Competencies: Proficiency in administrative procedures, record management, office presentations, and the ability to work without supervision.
Attributes: Self-motivated team player with a cooperative work style.
