Job Description
The United Nations Environment Programme (UN Environment) is the leading global environmental authority that sets the world's environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the environment. The Administrative and Financial Support Assistant will provide comprehensive support to the Regional Coordinator and Administrative Officer to ensure efficient programme operations.
Responsibilities and Duties
Legal and Financial Compliance: Assist the Regional Coordinator in the preparation and tracking of legal agreements, working in conjunction with implementing partners to ensure compliance with UN rules and regulations. This includes reviewing and rectifying legal instruments before submission for FMO approval, requesting reference numbers, iNeed requests for BP numbers, and banking details.
Project Coordination: Participate with the UNEP UN-REDD Administrative Officer in coordinating programme/project planning and preparation; monitor the status of programme/project proposals; and ensure project financial documents are completed and submitted to relevant parties for approval.
Human Resources Administration: Support human resource activities such as recruitment, placement, contract extensions, job classification reviews, and training. Process personnel actions in the UN SAP-based ERP system (Umoja) to reflect staff movements.
Meeting and Event Management: Organize meetings and events, providing technical support for virtual/hybrid formats and handling logistics, security coordination, and participant registration.
Travel Logistics: Manage travel requests for staff and consultants, which involves preparing travel approval requests, ensuring timely disbursement of allowances, overseeing DSA cash card procurement, and recording travel expense reports.
Documentation and Reporting: Process and file all legal obligations, including expenditure, progress, and final reports, as well as audit statements. Prepare payment requests for further administrative processes.
Administrative Tasks: Undertake other necessary administrative duties such as drafting meeting minutes and general office organization.
Qualifications and Experience
Education: Completion of High school diploma or equivalent is required. A first-level university degree in finance, accounting, business, or public administration, or related field is desirable.
Experience: A minimum of five (5) years of experience in finance, budget, accounting, administrative services, audit, or a related area is required.
Organization Experience: Prior experience within the United Nations or other international organizations is considered an advantage.
Technical Proficiency: Proficiency in computer skills, including Excel and the MS Office suite.
Soft Skills: Exceptional organizational skills, attention to detail, strong oral and written communication skills, and the ability to work effectively in a multicultural, geographically dispersed team environment.
