Role Overview
The United Nations Office at Nairobi (UNON) is seeking a Senior Procurement Assistant (G7) to provide administrative and operational support within its procurement function. UNON provides support services to the United Nations Environment Programme (UNEP), the United Nations Human Settlements Programme (UN-Habitat), and other UN organizations in Kenya. The successful candidate will manage purchasing requests, produce tender documents, and oversee procurement processes, particularly for complex engineering and construction works.
Key Responsibilities
- Request Management: Review, record, and prioritize purchasing requests; assist requisitioners in preparing scopes of work and specifications for goods and services.
- Procurement Strategy: Propose product substitutions consistent with requirements to achieve cost savings and determine the availability of funding sources.
- Sourcing and Tendering: Identify and recommend procurement sources, interview potential suppliers, and produce tender documents such as Invitations to Bids (ITB), Requests for Proposals (RFP), and Requests for Quotation (RFQ).
- Staff Supervision: Supervise, assign, and review the work of junior procurement staff.
- Other Duties: Perform additional tasks as assigned to ensure efficient procurement operations.
Qualifications and Experience
- Education: Completion of high school diploma or equivalent is required. Additional qualifications in procurement or a related field are highly desirable.
- General Experience: A minimum of ten (10) years of progressively responsible work experience in procurement or a related area.
- Academic Credit: For candidates holding a first-level University degree, the minimum relevant experience requirement is reduced to eight (8) years.
- Specialized Experience: At least two (2) years of specific experience in procurement and contract administration of large, multi-year engineering, architectural, and construction services/works is required.
- Desirable Experience:
- Managing procurement for entities with national, regional, or international operations.
- Working knowledge of Enterprise Resource Planning (ERP) systems (e.g., Umoja/SAP).
- Experience managing a team of procurement assistants.
- Familiarity with trending technologies that drive innovation and business practice improvements.
- At least one (1) year of experience in data analytics or related fields.
