Job Description
Role Overview
The Senior Office Administrator is responsible for the efficient management of office functions within the Agency. Working under the guidance of a senior manager, the officer ensures that administrative operations run smoothly, maintaining high standards of professionalism, confidentiality, and organization.
Key Responsibilities
Administrative Support: Taking oral dictation and using e-office systems to research and process data.
Customer Relations: Attending to visitors and clients, handling telephone calls, and managing customer inquiries and complaints.
Schedule Management: Coordinating schedules of meetings, appointments, and travel itineraries.
Office Management: Maintaining an up-to-date filing system and overseeing office protocol and etiquette; supervising office cleanliness.
Documentation and Security: Ensuring the security, integrity, and confidentiality of information, office records, equipment, and classified materials.
Supervision: Guiding and supervising other office administrative services personnel and monitoring procedures for record-keeping of file movements.
Communication: Preparing responses to routine correspondence.
Requirements and Person Specification
For appointment to this grade, an officer must have:
A cumulative service period of six (6) years relevant work experience, three (3) of which should have been in the grade of Office Administrator I or in a comparable position in the Public Service or Private Sector.
Bachelor’s Degree in Secretarial Studies from a recognized institution; OR Bachelor of Business and Office Management from a recognized Institution plus a Diploma in Secretarial Studies from a recognized institution; OR Bachelor’s Degree in Social studies from a recognized institution plus a Diploma in Secretarial Studies from a recognized institution.
Membership to a relevant professional body.
Management Course from a recognized Institution.
Proficiency in computer applications.

Successful candidates will be required to provide the following documents during interviews and at the point of receiving a job offer: Certificate of Good Conduct, HELB Clearance, KRA Tax Compliance Certificate, EACC Clearance, and a Credit Reference Bureau report.
