Job Description
As a Senior Import/Export Operations Specialist at DHL, you will play a crucial role in managing the logistical lifecycle of ocean freight shipments. Based in Nairobi, you will be responsible for coordinating shipment transmissions, ensuring regulatory compliance, and maintaining seamless communication between origins, destinations, and customers to ensure excellence in delivery.
Responsibilities
Shipment Management: Receive shipment alerts, check and confirm details in Cargo sphere (CWI), and coordinate the opening of shipment files.
Documentation: Prepare, control, and distribute all required import and export documents to carriers, consignees, and shippers while complying with internal and external regulations.
Coordination: Arrange collections with origin stations for imports and coordinate with shippers for export shipments. Manage booking confirmations within 24 hours.
Quality Control: Perform quality checks on Draft Bills of Lading, ETA details from shipping lines, and address any discrepancies prior to shipment arrival or departure.
Reporting: Send out status and tracking reports to customers, origin, and destination offices. Provide SOB/Pre-alerts upon approval of drafts.
Financial Operations: Invoice shipments based on rate agreements, process local billings or bill-backs to origin stations, and manage financial exception reports such as sick files or unbilled trackers.
Process Improvement: Ensure local import deliveries are routed via Saloodo where applicable, update SOPs for African regional requirements, and align Ocean Cross Trade processes.
Support & Supervision: Support the OFR Team Leader with system implementations and provide backup or supervision for team members during peak periods or absences.
Relationship Management: Develop and maintain relationships with customers and support Sales/Key Account Management in exception handling.
Qualifications and Experience
Experience: Minimum of 3 to 5 years of professional experience specifically in Ocean Freight operations.
Education: BA/BSc/HND or Matric level education.
Regulation Knowledge: Deep understanding of Customs requirements, Road Transport regulations, and Import/Export laws for African countries.
Systems Proficiency: Experience with CWI (Cargo Wise) and Microsoft Office applications.
Core Skills: Strong communication (written and spoken), interpersonal, influencing, and negotiation skills. Excellent planning and organizational abilities with a customer-focused mindset.
