Job Description
Agriculture and Food Authority (AFA) is a state corporation established under the Agriculture and Food Authority Act of 2013. Its primary role is to regulate, develop, and promote scheduled crops value chains for increased economic growth. The Authority is seeking to recruit a Records Management Officer II to manage its records and information systems effectively.
Role Overview
The Records Management Officer II is responsible for implementing records management procedures, digitizing documents, and ensuring the systematic organization and circulation of the Authority's physical and electronic records.
Key Responsibilities
Implement records management procedures, guidelines, and regulations within the Authority.
Digitize documents for efficient circulation and long-term archiving.
Maintain a standard records referencing and filing system in accordance with best practices.
Execute sorting, classification, indexing, and storage of records.
Manage and safeguard information, documents, files, and office equipment in the registry/archives.
Open and maintain confidential and secret files, ensuring file indexes are updated.
Ensure timely circulation of files and documents to relevant departments.
Maintain accurate records of file and document movements.
Person Specifications
To be eligible for appointment, a candidate must possess:
A Bachelor’s degree in Records Management, Information Management, Information Science, Library Science, Office Management, Business Administration, or an equivalent qualification from a recognized institution.
Proficiency in computer applications.
A proven track record of merit and ability in work performance and results.
Statutory Compliance Requirements
Shortlisted candidates must satisfy the requirements of Chapter Six of the Constitution of Kenya 2010 by providing:
Police Clearance Certificate (DCI).
Clearance Certificate from the Higher Education Loans Board (HELB).
Tax Compliance Certificate from the Kenya Revenue Authority (KRA).
Clearance from the Ethics and Anti-Corruption Commission (EACC).
Credit Reference Bureau (CRB) Report.
CUE Clearance for degrees obtained outside Kenya.
