This role is crucial for managing the front office operations, ensuring a professional and organized environment, and facilitating smooth internal and external communications. Key Responsibilities and Duties
The Receptionist will be responsible for a variety of administrative and front office tasks, including:
- Ensuring the showroom is neat and tidy, including well-arranged items on the slat walls.
- Practicing electricity conservation by switching on and off computers and machines when and when not in use.
- Ensuring adequate refreshment items (glasses and water) are readily available at the reception.
- Operation of the reception Television display at the showroom area.
- Ensuring there is adequate reading literature (brochures & profiles) neatly arranged on the reception table/stands.
- Ensuring that all staff radios are working properly.
- Familiarizing with extension numbers of company staff for efficient routing.
- Recording all telesales/on reception book and in Excel sheet format/CRM.
- Directing all telephone inquiries to the right departments (sales, finance, accounts, and administration).
- Ensuring guards’ extension is working correctly.
- Ability to do Photocopying, scanning, and laminating of documents.
- Verification and submission of documents received to attention persons and recording them in the register.
- Casuals’ management: Recording casuals names, retaining their ID’s, and issuing workshop passes.
- Visitors management: Recording all visitors going into the workshop and ensuring proper authorization process is followed.
- Submission of the Reception book to the office on a daily basis.
- Recording complaints/anomalies encountered in the day, managing customer interactions satisfactorily, and gathering customer feedback.
- Ensuring the Visitors helmets and reflectors are cleaned and maintained properly.
- Performing any other tasks handed out by the management that are not limited to the above job roles/duties and deliverables.
Qualifications and Experience
- Qualification: Diploma holder.
- Experience: 2 to 6 years of relevant experience.
