Information about the role
This role is responsible for overseeing the entire lifecycle of irrigation and greenhouse projects. The Project Management Officer manages project initiation, planning, monitoring, and closing, ensuring that deliverables are met on time, within scope, and within budget. This position requires a strong technical understanding of irrigation systems and engineering environments, alongside proficient financial and administrative management skills using ERP systems like Epicor.
Responsibilities and Duties
Project Initiation and Planning
- Assisting in the preparation of project costs for turnkey projects or for quotation purposes.
- Conducting internal kick-offs once a new project is secured.
- Ensuring that both overseas and local orders for project items are placed by the procurement team.
- Coordinating with subcontractors for mobilization to sites for turnkey projects.
- Communicating with clients regarding their readiness before project commencement.
- Tracking project deliverables and presenting reports on progress, problems, and solutions.
- Flagging and reporting irregularities, delays, or potential issues to management and customers.
Monitoring, Controlling, and Tracking
- Managing and communicating scope change orders to clients.
- Maintaining communication with clients and stakeholders throughout the project implementation stages.
- Ensuring all items in the Bill of Quantities (BOQ) are supplied to the project.
- Checking Work-In-Progress (WIP) to verify that project costs are accurate.
- Confirming payments to be made to sub-contractors.
- Planning and scheduling team meetings to discuss progress and issues.
ERP System Management (Epicor)
- Creating quotes and adding BOQs to the system.
- Opening project job numbers for material issuance.
- Setting up billing schedules for credit control to raise invoices.
- Closing projects through revenue recognition in Epicor.
Reporting and Documentation
- Preparing weekly project status reports for management.
- Preparing monthly reports for closing projects.
- Drafting work plans and progress reports for clients.
- Maintaining complete and accurate project documentation.
Managing Technicians
- Assigning technicians to specific projects or farms.
- Planning and scheduling technician work plans to ensure timely delivery.
- Arranging field allowances, travel, and managing leave days.
- Ensuring all necessary documentation and PPEs are provided to technicians before they report to a site.
Project Closing
- Overseeing handovers and ensuring signed commissioning forms are received from clients.
- Preparing credit notes for returns and ensuring the project is fully invoiced.
- Confirming all subcontractor payments are finalized as per agreed terms.
Training and Quality Assurance
- Conducting on-site commissioning and providing group training to end-users.
- Scheduling in-house technician training and maintaining training registers/certificates.
- Ensuring all Standard Operating Procedures (SOPs) are up to date and signed off by technicians.
- Monitoring the usage and maintenance of departmental vehicles.
Requirements and Qualifications
- Education: Bachelor’s Degree in Project Management, Engineering (Agricultural, Irrigation, Mechanical, Civil), or Business Administration. A Diploma with substantial hands-on experience may be considered.
- Experience: Minimum 5+ years of experience in project coordination or management, preferably in installation-based, engineering, irrigation, or construction technical environments.
- Certifications: PMP, PRINCE2, CAPM, or equivalent certification is a significant advantage.
- Technical Skills: Experience in project planning, scheduling, cost tracking, and preparation/interpretation of BOQs.
- Financial Acumen: Proficiency in budget control and WIP analysis.
- Tools: Familiarity with ERP systems (e.g., Epicor).
- Travel: Willingness to travel to project sites and a valid driving license is preferred.
