Job Description
The Affordable Housing Board is seeking a Principal Records Management Officer to ensure the efficient and effective management of the organization's records. This role involves implementing records management strategies, ensuring compliance with legislation, and maintaining an institutional repository to support the board's information governance framework.
Key Responsibilities
Initiate the appraisal and disposal of files, documents, and records in accordance with established rules and regulations.
Ensure efficient and effective management of all institutional records.
Implement records management strategies, standards, and guidelines.
Provide technical advice on records management to the organization.
Ensure compliance with relevant legislation and guidance regarding data and document retention.
Enhance audit trails to track the use, movement, and location of records.
Ensure a safe and conducive environment for physical records and documents.
Oversee the maintenance of an institutional repository.
Maintain documentation procedures for the closure of records during organizational changes such as mergers and separations.
Coordinate the identification of vital records for backup and disaster recovery planning.
Coordinate the development of procedures and metadata standards.
Spearhead sensitization and on-the-job training for the e-registry workflow system.
Ensure a safe and conducive working environment within the department.
Requirements & Qualifications
A cumulative service period of at least nine (9) years in a relevant field.
At least three (3) years of experience at the grade of Senior Records Management Officer or in a comparable position.
Bachelor’s Degree in any of the following: Information Science and Records Management, Records and Information Management, Library and Information Sciences, Business Information Technology, Information Studies, or equivalent qualifications from a recognized institution.
Completion of a Management Course lasting not less than four (4) weeks from a recognized institution.
Professional qualification and membership to a relevant professional body, where applicable.
Proficiency in computer applications.
Demonstrated merit and ability as reflected in work performance and results.
