We are seeking a highly organized, detail‑oriented coordinator to support VA billing, referral intake, scheduling, and caregiver communication. This role ensures smooth daily operations, timely lead response, and accurate administrative support especially during weekends.
Key Responsibilities
VA Billing & Data Entry
Maintain accurate VA billing data.
Verify service hours and documentation.
Ensure billing aligns with schedules and care records.
Follow workflows and escalate discrepancies as needed.
Referral Intake
Monitor incoming referral emails.
Respond quickly via phone, email, or text.
Gather structured intake details.
Log all communications in WellSky.
Schedule assessments for new clients.
Weekend Scheduling & Caregiver Coordination
Update schedules in WellSky.
Communicate shift confirmations, changes, and call‑outs.
Support last‑minute staffing needs.
Match caregiver skills with client requirements.
Operations & Admin Support
Document call notes and updates.
Triage issues and identify urgency.
Provide daily operational summaries.
Deliver professional, empathetic communication to clients and teams.
Requirements and Qualifications
Minimum of a BA/BSc/HND qualification.
Exceptional organizational skills and high attention to detail.
Strong communication skills with a professional and empathetic tone.
Ability to work weekends and handle administrative duties effectively.
Capacity to multitask and respond quickly to leads.
