The Operations Intern role is designed to support the Operations and Shop Admin team by executing a variety of standard administrative processes necessary for consistent service delivery as per assigned Key Performance Indicators (KPIs). This position reports under the supervision of the Shop Admin Operations Associate.
Responsibilities
Retail Centers Day-to-Day Assistance
- Initial payment requests for rent and service contracts for the retail centers.
- Work with retail executives, the warehouse team, and the procurement team to purchase shop consumables and ensure the items are delivered to the shop in time for business assistance.
- Regularly update internal stakeholders when there are changes to existing retail center locations. This includes maintaining and updating all databases used by stakeholders that relate to the retail centers.
- Coordinate replacement and/or repair of damaged equipment and furniture at the retail centers.
- Initiate payments to stand-in personnel when retail center executives are on leave or away from their workstations.
- Work with internal stakeholders to ensure that retail agents are constantly updated on matters relating to inventory losses and the status of deductions for the same.
- Maintaining and updating databases that create visibility of damage and/or loss status value from retail agents.
- Scheduling repairs and requesting for the installation of alarm systems in the retail centers.
Order and Inventory Management
- Initiating inventory movement from the warehouse to the retail centers upon confirmation received from the warehouse team on the inventory management systems.
- Initiating inventory movement from one retail center to another or return to the warehouse on the inventory management systems.
- Regularly report shop consumables balances at the warehouse.
- Initiating insurance claims for damaged and/or loss incidences at the retail centers and/or with retail agents for compensation.
- Maintaining and updating inventory consumption reports for accurate inventory reporting.
Candidate Profile and Qualifications
You would be a strong candidate if you:
- Hold a degree qualification preferably in Supply Chain Management, Statistics, or any Finance Related Field.
- Possess 1-2 years’ working experience in Finance, Supply Chain Management and/or Statistics.
- Have the ability to work comfortably with and maintain large volumes of data in Excel.
- Possess the ability to multi-task and address conflicting priorities.
- Are a goal-oriented and organized team player.
- Demonstrate proficiency in computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
- Have excellent verbal and written communication skills.
- Show the ability to work remotely under minimal supervision.
- Possess strong communication and stakeholder management skills.
