The role of the Office Assistant at Nestara is a junior, client-facing position at the heart of daily operations. The assistant will be the friendly voice and welcoming face in the office, ensuring every client and candidate feels valued from the first interaction. From handling incoming inquiries and scheduling meetings, to guiding clients through onboarding and keeping processes efficient in our systems, you will be at the heart of our daily operations. Key Responsibilities (What You’ll Do):
- Be the First Point of Contact: Greet clients and candidates with warmth and professionalism, whether it’s via WhatsApp, a phone call, or in person at our office. You will answer questions, provide information, and leave every caller or visitor feeling heard and appreciated.
- Orchestrate Schedules & Processes: Like an air-traffic controller for all our processes, you’ll schedule consultations, interviews, and follow-ups with ease. Using our CRM, you’ll keep track of leads and ensure no one slips through the cracks. Multitasking is your forte!
- Support Clients Every Step of the Way: From onboarding new clients (helping them fill in forms, understand our services etc.) to checking in after a placement, you’ll be the clients’ go-to guide. High-net-worth families expect attentive service, and you will deliver just that, maintaining Nestara’s reputation for care and excellence.
- Keep Our Front Office Running: Manage the reception area, making sure our office is welcoming and efficient. This includes answering general inquiries, handling minor admin tasks, and contributing to a positive atmosphere. Essentially, you ensure the Nestara experience is smooth from the front door to the final follow-up call.
- Collaborate and Learn: As part of a lean team, you’ll collaborate closely with our recruitment and client services staff. We encourage ideas and initiative. This is a role where you can grow quickly by taking on new challenges.
- Business Development: Collaboratively, as guided by the leadership team, you shall attend events, meet potential clients and partners outside of the office setup to represent the Nestara brand in creating awareness and driving business metrics and impact.
Requirements and Qualifications (Who We’re Looking For):
- Educational Qualification: BA/BSc/HND.
- Experience: Ideally, 1-2 years experience in a client-facing role (customer service, front desk, hospitality, etc.), with verifiable references.
- Communication Expert: Fluent in English (both spoken and written). Must be able to craft great emails and WhatsApp messages, and communicate clearly, politely, and confidently with everyone. Swahili language skills are a bonus.
- Super Organized Multi-Tasker: Juggling tasks comes naturally to you. You are detail-oriented in managing schedules and keeping records updated.
- Tech-Savvy & Quick Learner: Comfortable with computers and proficient in using tools like CRMs, databases, Excel, and email extensively. Must be confident in learning new systems fast.
- Calm & Professional: You handle pressure with grace. You prioritize, maintain a calm demeanor, understand discretion, and can interface with VIP clients in a polished manner.
- Team Player with a Can-Do Attitude: Humble and ready to pitch in wherever needed. You take feedback well and are excited to be part of a close-knit, mission-driven team.
