Job Description
The IT & Digital Transformation Officer is responsible for the end-to-end management of the company’s IT environment, ensuring system stability, data security, infrastructure reliability, and digital integration and transformation across all departments. The role safeguards business continuity by maintaining secure, efficient, and scalable technology systems while supporting ERP implementation, enforcing IT governance standards, and driving structured digital improvements aligned with organizational growth.
Key Responsibilities
IT Operations & Systems Management
Oversee daily IT operations across all departments (Business Growth, Operations, Finance, HR, and Executive Office).
Ensure full functionality, uptime, and reliability of business systems and digital tools.
Provide timely resolution of hardware, software, network, and system issues within defined SLAs.
Implement preventive maintenance and proactive system monitoring.
Establish and enforce structured IT service standards and response procedures.
Conduct a comprehensive IT environment audit within the first 90 days and present a structured IT risk and improvement report to management.
Develop a 12–24 month IT roadmap aligned to business growth and digital transformation priorities.
Data Security & Cybersecurity Governance
Develop and enforce IT security policies and access control frameworks.
Manage firewall, antivirus, endpoint protection, and threat monitoring systems.
Oversee structured data backup protocols and periodic disaster recovery testing.
Develop, document, and test a formal Disaster Recovery Plan (DRP) annually.
Maintain an IT Risk Register and conduct quarterly risk assessments.
Conduct annual cybersecurity awareness training for all staff.
Implement multi-factor authentication (MFA) and structured password management controls.
ERP Implementation & Systems Coordination
Spearhead ERP implementation across all departments, with the support of service providers.
Assist in system configuration, data migration, validation, and user readiness.
Provide first-line technical support and training during rollout and stabilization phases.
Ensure proper segregation of duties and access control within ERP and financial systems.
Lead post-implementation system optimization and continuous improvement initiatives.
Digital Integration & Continuous Improvement
Spearhead infrastructure upgrades and technology enhancement initiatives.
Evaluate and integrate new digital tools aligned with business strategy.
Lead automation initiatives to reduce manual processes and improve turnaround time.
Ensure compatibility and seamless integration between ERP and other business systems.
Support digital reporting dashboards for improved management visibility.
IT Governance, Compliance & Asset Management
Maintain a comprehensive IT asset register (hardware and software).
Track licensing compliance and renewal schedules.
Develop and document IT policies, SOPs, and operational guidelines.
Ensure alignment of IT controls with internal audit and compliance standards.
Conduct quarterly user access rights audits across all systems.
Enforce immediate system access revocation upon employee exit in coordination with HR.
Infrastructure & Hardware Maintenance
Coordinate maintenance of company servers (on-premise and/or cloud-based).
Manage LAN/WAN/Wi-Fi infrastructure to ensure secure and uninterrupted connectivity.
Coordinate management and maintenance of all company hardware (desktops, laptops, printers, routers, switches, CCTV).
Vendor & Service Provider Management
Liaise with ISPs, IT vendors, and external service providers; monitor performance against SLAs.
Negotiate service contracts and manage renewals or changes.
Key Performance Indicators (KPIs)
≥ 99% system uptime rate.
Zero major data loss incidents or critical security breaches.
IT incident resolution within defined SLA timelines.
Successful ERP rollout and stabilization.
100% IT asset register accuracy and license compliance.
Measurable reduction in manual processes through automation.
Required Qualifications & Experience
Bachelor’s Degree in Information Technology.
5 – 10 years’ experience in IT systems administration or infrastructure management.
Proven experience supporting ERP systems implementation (preferred).
Strong knowledge of server management, networking, cybersecurity, and system integration.
Ability to operate independently within a structured business environment.
Strong analytical, documentation, risk management, and reporting capability.
Professional certifications (e.g., Microsoft, Cisco, CompTIA, ITIL) will be an added advantage.
