Job Description
Unga Holding is a market leader in the manufacturing and provision of superior human nutrition, animal nutrition, and animal health products and services within Eastern Africa. We are seeking a Human Resource Assistant to join our team in Nairobi. The role involves supporting the HR department across various functions, including talent acquisition, employee record management, payroll support, and learning coordination.
Key Duties and Responsibilities
Coordination of Talent Acquisition
Scheduling interviews and coordinating logistics between hiring managers and candidates.
Preparing interview collateral and collating outcomes into professional summaries.
Communicating results to candidates through appropriate channels.
Assisting in onboarding new hires, managing documentation, risk and governance processes, and orientation activities.
Management of Employee Records, Filing, and Retrieval
Maintaining accurate documentation for orientation, onboarding, and separation.
Tracking employee contracts, including probations, confirmations, and renewals.
Ensuring personal data consent forms and the Unga Code of Ethics are signed and filed.
HR Operations
Maintaining calendars for HR events and site activities.
Preparing and submitting HR reports with useful metrics.
Providing data for payroll processing and resolving payroll errors.
Supporting the management of outsourced staff and monitoring labor costs.
Processing invoices and performing reconciliations to ensure timely payments.
Employee Relations
Supporting employees in HR matters and handling complaints/grievance procedures.
Escalating and resolving issues in a timely manner.
Drafting disciplinary meeting minutes and filing related documentation.
Learning Support
Executing induction programs and communicating regarding training opportunities.
Tracking attendance for in-house and external training sessions.
Performance Management
Providing administrative support for performance management cycles.
Ensuring quarterly face-to-face sessions and annual Professional Development Plans (PDPs) are completed and filed.
HR Compliance
Ensuring 100% compliance with statutory and regulatory requirements.
Monitoring Service Level Agreements (SLA) with HR service providers.
Managing timely renewals of permits, licenses, and service provider contracts.
Job Requirements
Bachelor’s Degree in Human Resource Management or a related discipline.
2-3 years of experience in a similar HR role, preferably within the FMCG sector.
CHRP Certification and valid Professional Membership with IHRM.
Hands-on experience with Human Resource Management Information Systems (HRMIIS).
Strong knowledge of Kenyan labour laws.
High level of computer proficiency.
