Job Description
Job Purpose
Under the supervision of the HR/Admin Manager and with day-to-day guidance from the HR/Admin Assistant, the HR/Admin Intern supports routine HR and administrative tasks while gaining practical experience in human resources and office administration.
The intern provides support in recruitment, filing, documentation and general office coordination activities.
Main Responsibilities
HR Support
Assist with recruitment, interview processes and staff onboarding coordination.
Ensure staff personnel files are complete and updated in line with ACTED policies.
Assist in filing and archiving HR documents both physically and electronically.
Support regular updating of leave trackers and staff databases.
Assist in preparing of OUT correspondences for review by line manager before dispatching them to the relevant offices, staff.
Support communication and sharing of HR information with field teams when required.
Support travel arrangements including flight bookings, airport pick-up coordination, visa processing follow-up and accommodation arrangements.
Assist in tracking HR and administrative documentation.
Carry out any other duties as required.
Nature of the Position
This is a learning and support role intended to provide practical exposure to Human Resources and Administration functions within a humanitarian organization.
Working hours are generally Monday to Friday in line with office working hours though flexibility may occasionally be required depending on operational needs.
The intern is expected to maintain professionalism, confidentiality and adherence to ACTED policies at all times.
Skills and Qualifications Required
Recent graduate or final-year student in Human Resource Management, Business Administration, International Relations, or related field.
Strong interest in Human Resources and Administration work.
Good communication and interpersonal skills.
Good organizational and time management skills.
Willingness to learn and ability to follow instructions.
Basic computer skills including Microsoft Office (Word, Excel, Outlook, PowerPoint).
Ability to maintain confidentiality and professionalism.
Previous internship or volunteer experience is an added advantage.
