Job Description
The Fleet Manager is responsible for the day-to-day coordination, supervision, and implementation of all fleet-related activities, including company vehicle operations, taxi booking services, and transport support for field teams. The role ensures that all vehicles are efficiently utilized, properly maintained, and compliant with regulatory and safety standards.
Key Responsibilities
Fleet Operations Management
Oversee the daily operations of the company fleet, ensuring optimal utilization of vehicles to support business and field team needs.
Coordinate transport logistics for staff, including taxi booking services and pool vehicle allocation.
Act as the primary point of contact for all driver and vehicle-related queries.
Monitor vehicle usage, fuel consumption, and driver performance to improve efficiency and reduce costs.
Ensure availability of vehicles for field teams and timely allocation based on operational priorities.
Vehicle Maintenance & Compliance
Ensure all vehicles are maintained in excellent working condition through preventive and corrective maintenance schedules.
Manage relationships with garages, service providers, and spare parts suppliers.
Ensure full compliance with Kenyan traffic laws, NTSA regulations, insurance requirements, and company policies.
Maintain accurate fleet records, including inspections, service logs, insurance, and licensing.
Vendor & Service Provider Management
Manage relationships with taxi service providers and mobility partners to ensure reliable and cost-effective transport solutions.
Negotiate service level agreements (SLAs), monitor performance, and ensure adherence to quality and safety standards.
Implement and oversee taxi booking systems to improve turnaround time and user experience.
Driver Management
Supervise pool drivers, including scheduling, discipline, and performance management.
Ensure drivers are trained on safe driving practices, customer service, and compliance requirements.
Monitor driver behavior, including adherence to safety standards and company policies.
Health, Safety & Compliance
Maintain high standards of health and safety for all fleet operations.
Ensure compliance with occupational health and safety regulations.
Conduct regular safety audits, vehicle inspections, and incident reviews.
Investigate accidents or incidents and implement corrective measures.
Budget & Cost Management
Develop and manage fleet budgets, including fuel, maintenance, leasing, and taxi services.
Track expenses and identify opportunities for cost optimization.
Ensure all activities are delivered within approved budgetary limits.
Reporting & Documentation
Maintain and update fleet management systems and records, including reporting dashboards.
Provide regular reports on fleet performance, utilization, costs, and compliance.
Support audits by maintaining accurate and up-to-date documentation.
Stakeholder Coordination
Liaise with internal departments to understand transport needs and ensure service delivery meets expectations.
Communicate proactively with field teams to support operational requirements.
Work closely with procurement and finance teams on vendor selection and contract management.
Qualifications and Experience
Bachelor’s degree preferably in Business, Real Estate, Finance, or a related field.
Proven experience in fleet management or transport operations.
Strong understanding of financial terms and principles with the ability to analyze and conduct complex financial and business decisions.
Basic knowledge and understanding of common terms and components related to fleet management.
Proficiency in Microsoft Office applications.
Knowledge of fleet management systems and reporting tools.
Understanding of NTSA regulations, insurance requirements, and traffic laws.
