The Finance Assistant will be responsible for ensuring the smooth day-to-day running of all finances, all statutory returns, compliance issues, and some operational support and procurement tasks. This person needs to be hands-on and take on different responsibilities as required, based on the changing needs of the company. The role is varied and suited to someone who can use initiative, ask the right questions, and approach management with problems along with potential solutions.
Responsibilities and Duties
Day-to-Day Operations
Petty Cash Management: Ensure that the petty cash M-Pesa phone account and expense float account have an adequate balance at all times; record all payments in Excel and reconcile daily. Update records in Zoho weekly.
Bank Management: Act as the main agent on the bank account. Enter payments for approval and ensure all supporting documents (POs, PFIs, etc.) are in place and procurement requirements are met.
Cashflow Management: Maintain adequate cash balances in bank and petty cash accounts and request top-ups in a timely manner.
Data Entry: Accurately record all invoices, bills, payments, receipts, and expenses in a timely fashion for accounting and reporting.
Accounts Payable: Ensure all bills are paid in accordance with supplier terms and maintain strong relationships with vendors.
Accounts Receivable: Post payments from customers daily and work with the sales team to resolve invoice issues and follow up on debt.
Documentation: File all supporting documentation in soft and hard copy. Follow up on e-TIMS and other official invoices.
Office Administration: Manage the purchase of office and kitchen supplies, ensuring a minimum buffer of stock.
Employee Expense Management: Reconcile employee expense forms to ensure accurate reimbursements.
Tax Filings: Ensure full compliance with VAT and statutory payroll deductions, making payments on time to avoid penalties.
Payroll: Perform monthly statutory payroll submissions (SHIF, NSSF, Housing Levy, HELB, NITA) and resolve any statement issues.
Internal Controls: Suggest improvements for financial policies and processes to the CFO.
Compliance: Maintain a tracker for annual requirements like single business permits, EPRA, KEBS, county permits, and insurances.
Month-End Tasks
Prepare all petty cash, M-Pesa, and bank reconciliations.
Post monthly accrual and prepayment adjustments with the CFO.
Update the fixed asset register, calculate profit/loss on disposals, and post depreciation.
Clear employee reimbursements, payroll liabilities, and suspense accounts.
Other Duties
Maintain high levels of integrity and professionalism in line with core values.
Recruit, manage, and train direct reporting staff according to company policy.
Provide ad-hoc financial reports as required by management.
Skills and Experience
Education: Degree in Accounting.
Experience: Minimum of 3 years of relevant experience in a similar role.
Language: Proficiency in English is required; knowledge of Kiswahili or French is a bonus.
Attention to Detail: Exceptional ability to identify small discrepancies and errors.
