Job Description
The Driver/Office Support at the International Union for Conservation of Nature (IUCN) will be responsible for providing professional driving and chauffeur services to assigned staff and guests of the REPLAN project. This role requires the highest standards of discretion, integrity, and a strong sense of responsibility, alongside excellent knowledge of protocol and security issues. Beyond driving, the successful candidate will provide essential administrative support to the project office, assisting with personnel, deliveries, and the maintenance of project assets.
Key Responsibilities
Transport and Logistic Support
Provide driving services to the PMU and other assigned staff as instructed.
Manage planning and scheduling via Outlook Calendar and register transportation requests.
Handle bank transfers, supplier payments, and conduct cash purchases for REPLAN.
Deliver and collect mail, documents, supplies, and other items as required.
Ensure strict adherence to traffic rules and regulations and follow appropriate protocols in the event of an accident.
Ensure the vehicle is equipped with necessary documentation (insurance, logs) and supplies (first aid kit, maps, spare parts).
Guest Management & Protocol Liaison
Meet official and high-ranking personnel at the airport and facilitate immigration and customs formalities.
Drive assigned IUCN vehicles for the transportation of staff, guests, and authorized personnel.
Assist with visa application processes (manual and electronic), including submission and collection for REPLAN staff.
Vehicle Maintenance Management
Maintain the vehicle in optimal running condition, overseeing minor repairs, oil changes, and cleaning.
Perform daily maintenance checks on oil, water, battery, brakes, and tires.
Maintain clear daily logs of mileage, gas consumption, and official trips.
Coordinate with the Procurement and Operations Officer for major repairs and ensure timely insurance renewals.
Administrative & Project Team Support
Assist in planning and participate in field work activities.
Take notes during meetings and field assignments.
Handle basic office operations including photocopying, printing, and document delivery.
Act as a backup for the Front Office Administration Assistant, including answering phones and managing visitor registration.
Coordinate with taxi companies and manage simple Excel forms for basic inventory and transfers.
Requirements
Education
A University degree in any area of study is required.
A Professional Certificate in computer packages.
Possession of a valid and clean driver’s license.
A mechanical certificate is mandatory.
Training in defensive driving skills is required.
Experience
Minimum of 8 years’ professional driving experience, with at least 5 years within the private or public sector.
Exceptional knowledge of urban and rural road networks and driving conditions in Kenya.
A clean driving record with no history of major accidents or traffic violations.
Skills and Competencies
Proficiency in English and Swahili.
Strong verbal and written communication skills.
Excellent interpersonal skills with the ability to work in multi-cultural environments.
Ability to handle sensitive information with discretion and confidentiality.
Punctuality, reliability, and a customer-focused mindset.
Proficiency in operating computerized business machines and office equipment.
Strong organizational skills with the ability to prioritize multiple tasks under pressure.
