Job Description
Safal Group is seeking a dedicated Dispatch Officer to join its team. This role is central to the efficient movement of goods, focusing on the seamless coordination of truck planning, logistics documentation via SAP, and comprehensive stock management. The successful candidate will ensure that products are dispatched to customers and service centers accurately and on time while maintaining rigorous compliance with internal policies and safety standards.
Key Responsibilities
Dispatch and Logistics Coordination
Coordinate with the planning and operations team for truck placement for local and upcountry dispatches.
Request appropriate trucks from transporters based on the specific products being dispatched.
Monitor truck movements from the initial dispatch time until they exit the facility and take corrective action with transporters when necessary.
Liaise with service centers and upcountry offices to manage dispatch requests effectively.
Escalate and resolve challenges faced during the truck arrangement process.
Documentation & SAP Compliance
Generate essential documents including Delivery Notes, Gate Passes, and Loading Slips in SAP according to Sales Order/STO requirements.
Reconcile STOs and dispatches on a fortnightly and monthly basis to ensure complete closure of records.
Process clearing agent invoices after verifying all required documents and internal acceptance.
Management of Stocks in Sales Storage Location
Track material and stock transfers from production to the sales storage location.
Conduct monthly physical stock counts and reconcile data within the system.
Generate and submit sales storage location inventory documents in SAP for approval and necessary adjustments.
Customer Relations
Maintain proactive communication with customers regarding truck dispatch status.
Provide all necessary documentation to customers to facilitate smooth receipts.
Support customers with documentation and timely clearance at loading points.
File Management & Reporting
Maintain an effective and organized filing system for chronological record-keeping of invoices and STOs.
Periodically review and recommend improvements to filing policies.
Prepare and submit detailed monthly reports on stock, invoicing, and truck movements to senior management.
Systems and Procedures
Ensure full compliance with Environment, Health and Safety (EHS) regulations, ISO processes, and internal policies.
Research and implement best practices to drive continuous improvement within the logistics section.
Monitor performance management metrics to ensure operational targets are met.
Qualifications and Experience
Education: Bachelor’s Degree in Supply Chain Management or a related field (BA/BSc/HND).
General Experience: 3-5 years of professional work experience.
Specific Experience: At least 3 years of experience directly in dispatch, logistics, or supply chain management.
Industry Background: Previous experience in FMCG, Manufacturing, or Construction is highly desirable.
