Nairobi Bariatric Center – Holistic Living, the pioneer weight loss clinic in East Africa, is seeking a Clinic Manager for a full-time, on-site position in Nairobi, Kenya. This role is responsible for the comprehensive operational, administrative, and financial management of the clinic. The ideal candidate will go beyond general administration, demonstrating strong skills in billing processes, inventory control, procurement, and financial reporting.
Key Responsibilities
Clinic Operations
Oversee daily clinic activities including consultations, procedures, and patient flow.
Manage and coordinate schedules for surgeons, physicians, nurses, dietitians, and support staff.
Ensure all clinic operations comply with medical, safety, and regulatory standards.
Track operational performance indicators such as service turnaround time and clinic utilization.
Implement and maintain clinic systems including EMR/HMIS and scheduling platforms.
Financial & Billing Oversight
Supervise all billing, invoicing, and revenue tracking activities.
Reconcile invoices and payments with accounting records to ensure accuracy.
Verify supplier invoices and documentation before processing payments.
Assist in preparing monthly financial reports, covering revenue, expenses, and costs.
Maintain organized records for internal audits and management reviews.
Inventory & Warehousing
Manage the inventory of medical supplies, surgical consumables, pharmaceuticals, and equipment.
Maintain accurate records using bin cards and digital system entries.
Monitor stock levels to optimize inventory and prevent shortages or overstocking.
Supervise Goods Received Notes (GRN) and Goods Issue Notes (GIN) processes.
Perform regular physical stock counts and resolve discrepancies.
Procurement & Supplier Management
Plan and coordinate procurement for medical and operational supplies.
Prepare purchase requisitions and purchase orders.
Evaluate and select suppliers based on quality, reliability, and competitive pricing.
Track deliveries and maintain updated supplier records.
Ensure procurement follows all internal approval procedures.
Team & Administrative Management
Supervise administrative and support personnel.
Facilitate recruitment, onboarding, and training for new staff members.
Ensure high standards of patient service and handle escalated complaints.
Maintain clinic policies, Standard Operating Procedures (SOPs), and operational documentation.
Qualifications and Experience
Bachelor’s degree in Healthcare Management, Business Administration, Accounting, Supply Chain, or a related field.
3–5 years of professional experience in healthcare or clinical operations management.
Proven practical experience in clinic operations, billing, inventory/warehouse management, and procurement.
Sound understanding of financial reporting and operational cost control.
Proficiency in Microsoft Excel and digital health management systems (EMR/HMIS).
Strong leadership, organizational, and analytical skills.
