The Kipchimchim Group of Companies is seeking competent and results-driven Clearing & Forwarding Officers (Advert No. KG/03/3/2026) to join their dynamic team. The successful candidates will be responsible for ensuring efficient customs clearance, documentation processing, and timely delivery of consignments while maintaining compliance with regulatory requirements.
Duties and Responsibilities
- Shipping and Delivery Management: Handle end-to-end clearing and forwarding processes for imports and exports. This includes managing shipment processes and delivery logistics such as container pick up, positioning, and delivery to the port.
- Documentation: Prepare and process shipping documents, including invoices, packing lists, bills of lading, and customs entries. Ensure 100% compliance with regulatory bodies including KRA, KEBS, Kentrade, and KNCCI.
- Stakeholder Communication: Coordinate with customs officials, port authorities, transporters, and other stakeholders to ensure smooth cargo movement. Maintain strong relationships with CFS, KRA, KPA, factories, banks, and customs agents along the supply chain.
- Updates and Reporting: Track shipments and provide timely updates to management and clients. Prepare weekly summary reports showing closed, open, and incoming imports for directors and management.
- Compliance: Ensure compliance with all statutory and regulatory requirements. Manage duty payments, verification, and reconciliation of clearing expenses.
- Issue Resolution: Resolve any issues concerning importation, including clearance delays, discrepancies, documentation backlogs, or escalating demurrages to ensure a seamless process.
- Record Maintenance: Maintain accurate records and prepare operational reports. Implement systems for tracking and centralizing essential importation documents.
- Permits and Licensing: Responsible for obtaining necessary permits or licenses for warehouses and specific goods, ensuring compliance with legal requirements such as custom bonds.
- Freight Booking: Secure competitive cargo space with shipping lines to optimize capacity and scheduling.
- EPZ Coordination: Lodge EPZ entries and share them with brokers in a timely manner.
- Logistics Efficiency: Ensure container drop-off on time to avoid demurrages, detention charges, and other costs associated with delays.
- Miscellaneous: Carry out any specific projects and tasks in the warehouse as may be required by management.
Required Qualifications & Experience
- Diploma in Clearing & Forwarding, Logistics, Supply Chain Management, or a related field (A Degree will be an added advantage).
- Minimum of 2-4 years' experience in a busy clearing and forwarding environment.
- Strong knowledge of customs procedures, import/export regulations, and documentation.
- Experience with relevant customs systems and logistics tracking tools is an added advantage.
- Excellent organizational, communication, and negotiation skills.
- High level of integrity, accuracy, and attention to detail.
- Ability to work under pressure and meet strict deadlines.
- Problem-solving and analytical skills.
