The BYD Sales Coordinator is responsible for providing essential support to the BYD team regarding day-to-day business operations. The primary objective of this role is to ensure the timely processing of customer orders while maintaining accurate records and upholding high standards of customer experience. Key functions include invoice processing, vehicle logistics coordination, and the development of comprehensive sales reports.
Main Responsibilities
Customer Interaction: Answer all customer calls and enquiries promptly; attend to tender enquiries accurately to enhance customer satisfaction.
Documentation & Record Management: Manage departmental records including warranty documents, demo vehicle agreements, client feedback reports, and vehicle files. Create and maintain both soft and hard copy files for every vehicle delivered.
Logistics & Coordination: Follow up on new vehicle registrations, accessory installations, and logbook dispatches. Act as the custodian for all spare keys and logbooks.
Inventory Management: Manage and report on stock levels, perform reconciliations, handle vehicle movements from Bond/GLC, and manage stock discrepancies. Adhere to the FIFO (First-In, First-Out) system for model allocation.
Sales Support: Prepare timely quotations for branches, dealers, and agents. Update customers regularly on sales order progress and resolve queries efficiently.
Compliance & Maintenance: Follow up on warranty booklets to ensure compliance with CFAO Mobility guidelines and schedule maintenance appointments for customers.
Administrative Duties: Manage stationery requisitions, archive departmental records for easy retrieval, and maintain the Fleet Register.
Team Collaboration: Support other departments and the BYD team with various tasks as needed within working hours.
Requirements
Education: A Bachelor's degree in a business-related field from a recognized university.
Experience: A minimum of 3 years of experience in administration or a relevant position within a reputable organization.
