Role Overview
The Administrative Secretary at the University of Eastern Africa, Baraton (UEAB) is responsible for providing high-level administrative and secretarial support to facilitate efficient office operations and service delivery. The role involves managing sensitive records, coordinating schedules, and serving as a communication link between the supervisor and various stakeholders, including students and staff.
Key Responsibilities
Perform administrative and official duties as assigned by the supervisor to ensure smooth office workflow.
Handle typing, data entry, and information processing for the preparation of official office documents used in decision-making.
Maintain and safeguard office records and sensitive information, ensuring they are organized and accessible when needed.
Manage correspondence by responding to emails and queries, and communicate administrative matters on behalf of the supervisor.
Assist in the implementation and coordination of office functions and operational service delivery.
Provide professional assistance to students, employees, and other stakeholders visiting or contacting the office.
Prepare professional reports, committee minutes, and other official documents.
Manage the supervisor’s itinerary, including scheduling appointments and providing timely reminders for upcoming events.
Coordinate general office services and activities to improve efficiency and effectiveness.
Qualifications and Requirements
Academic Background: Must possess a Bachelor’s Degree in Office Administration, Office Management, English, Communication, or an equivalent field with at least Second Class Upper Division from a recognized university.
Secondary Education: Must have a KCSE mean grade of at least C+ or its equivalent.
Work Experience: At least 3 years of relevant experience in administrative and secretarial duties, specifically in office and records management, preparation of reports, and scheduling.
Technical Skills:
Computer typing speed of at least 50 words per minute.
Ability to write using Short Hand.
High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook), LaTeX, E-Learning platforms, and the Internet.
Professional Certification: A relevant recognized professional qualification such as CPS (K) Final or secretarial certificates is considered an added advantage.
