Role Overview
Our client, the Embassy of Sweden, is seeking to recruit an experienced Administrative Assistant for the Swedish Embassy, Somalia Unit. Based in Nairobi, the successful candidate will provide essential administrative support, manage complex travel logistics, and coordinate events. The role requires a professional who is fluent in both English and Somali, with a strong background in administrative work and organizational management.
Key Responsibilities
Travel Coordination: Responsible for the team's travel preparation to Somalia, including airline and hotel bookings and other related services.
Security Liaison: Maintain contacts with security operators in Somalia to facilitate safe travel and operations.
Administrative Support: Provide high-level administrative assistance to the Head of Cooperation, the Counsellor/political desk officer, and the Regional Security Advisor.
Event Planning: Support the planning and organization of meetings, workshops, and events in both Kenya and Somalia.
Correspondence: Handle official correspondence addressed to government agencies and other key stakeholders in Somalia.
Collaboration: Cooperate and coordinate with other administrative functions within the Embassy to ensure smooth operations.
Reporting: Perform routine administrative work and other duties as assigned by the Head of Cooperation or the Head of the Somalia Unit.
Skills, Qualifications, and Experience
Education: A degree in administration or other field related to the post. A relevant university degree is highly advantageous.
Experience: Minimum of two (2) years of professional experience in administrative work. Experience from working in an Embassy or International Organisation is highly desirable.
Language Skills: Fluent in English and Somali, both written and spoken.
Organizational Skills: Very good organizational and time management skills and commitment to on-time delivery.
Teamwork: Strong team working skills; understanding the need to build and maintain contacts and networks within and outside the Embassy.
Soft Skills: Punctual, responsible, and professional.
Technical Proficiency: Ability to work with social media and proficiency in basic MS Office programs: Word, Outlook, Excel, etc.
