Job Description
The Admin Officer keeps the engine room running. You will manage the day-to-day operations of TC4A's Nairobi HQ — office, vendors, travel, logistics, and team support — and provide administrative backbone to country teams across our markets.
Key Responsibilities
Office Management: Manage the Nairobi office facilities, supplies, IT coordination, and vendor contracts.
Logistics & Travel: Coordinate domestic and international travel, including visas and accommodation for staff and partners.
Event Planning: Plan and coordinate internal and external events such as workshops, partner meetings, and client visits.
Record Keeping: Maintain organized records including contracts, MoUs, insurance policies, and statutory documents.
HR Support: Assist with HR administration tasks such as onboarding, leave tracking, contracts, and staff records.
Financial Administration: Process vendor invoices, expense reports, and reimbursements in coordination with the Finance department.
Procurement: Manage procurement of office and program supplies, ensuring value for money.
Team Support: Support country offices with administrative requests and provide executive support to the CEO when required.
Requirements
Bachelor's degree in Business Administration, Office Management, or a related field.
3–5 years of experience in an administrative or office management role.
Demonstrated experience coordinating travel and logistics across multiple countries.
Strong organization, attention to detail, and the ability to juggle competing priorities.
Fluent in Google Workspace (Docs, Sheets, Calendar) and Microsoft Office.
Excellent written and spoken English.
